Adding your club details for registrations
When we set up new customers, we use demo data for online registrations just so you can test how it works.
Before you're able to use registrations, they must be activated, and categories must be created (just a name for each category is enough). In case you missed creating the categories, click here.
Here's a breakdown of the "Registrations"-tab:
- Left menu: Tournament
- Top menu: Registrations (If not visible to you, please contact us.)
- Registration start date (any date in the past will open them straight away)
- klo refers to a specific time, for example, 12:00.
- Registration end date
- Payment deadline (either a specific date or a number of days, e.g., 7 or 12.12.2023)
- If you're collecting other fees via passes, the accommodation deadline could be used, but in most cases, it can be left blank.
- Registration sender email=the address that will be added into the registration email for replying.
- Registration email address=the system emails a copy of the registered team, sort of a notification, to this address.
- Ref email=If you use referee registration to add referees into the system, add the desired email address; otherwise, it can be left blank
- Custom reference number=Digits that will be added to the beginning of the reference number.
- We strongly recommend using custom reference numbers when collecting tournament fees via bank transfer. Using custom reference number makes tracking transactions a lot easier.
- Maximum of 10 digits.

- Emails/messages that are displayed/sent by the system.
- You can fine-tune the various text fields, but it's best to keep the same format.

- Category fees (at the bottom below all the text fields)
- Use "Select all" if all categories have the same deadlines and pricing.
- In the screenshot, there are different prices, but the deadline dates are the default values (which were given earlier).
- "Open" and "Invitation only" are the most commonly used.
- With invite-only, teams need a direct link to the registrations. We can create those links for you.
- If you want to close off any categories for registrations for some specific reason, you can set them as closed.
- Max number of teams per category before the waiting list kicks in.
- 0 = No restrictions on the number of teams.
- Invoicing information, including details such as bank account number and sort code, will be added to the invoice.
After you have added the info click Save.
